Document Numbering
Quotations, LPOs, Delivery Notes:ABC-QU-33-01-CW
PREFIX — DOC TYPE — PROJECT NO — NUMBER — PROJECT TYPE — REVISION
Project Ref:ABC-PRO-33-2026— PREFIX — PRO — PROJECT NO — YEAR
Invoices are numbered differently — on purpose
ABC-33-INV-01— while it is a proforma (not yet paid). Numbered per project and never re-sequenced, so a number you have already sent a client keeps meaning the same document.
ABC-INV-26-0001— once it is issued and paid. This is the tax-invoice register: one unbroken run per year, in paid-date order, and locked once assigned. UAE VAT rules expect a sequential, gap-free series, which a per-project number cannot give.
The proforma number is kept on the invoice after it is issued, so an old number can still be traced.
The DOC TYPE (QU, LPO…) and PROJECT TYPE (CW, FO…) codes are fully editable — add or change your own in the Document Type Codes and Project Type Codes sections below.
Company Prefix
ABC-QU-33-01-CW
Default VAT %
Pre-fills VAT % when toggled on in documents
Invoice Due (days)
New invoices auto-get a due date this many days after their date (drives the Overdue flag). Default 5 days. Changing this affects NEW invoices only — invoices already issued keep the due date the client was given.

Document Type Codes
These codes appear in all document numbers (e.g. QU, INV, DN). Built-in types cannot be deleted but their code/label can be edited. Custom types can be deleted.
Numbering only: custom document type codes are used in the document-numbering scheme. The document workspaces (Quotations, Invoices, LPO, Delivery Notes) are fixed — adding a new code here does not create a new section.
Project Type Codes
Project category codes used in document numbers (e.g. CW = Civil Work, FO = Fitout Work). Select the type when creating a project.

Choose Default to use the built-in template (customisable via colors/layout below), or open the Canvas Editor for each document type to drag, drop and design your own layout from scratch — like Canva or Keynote.

Letterhead — What Repeats on Every Page
When a document spans multiple pages, only the sections you check here will repeat at the top (and bottom) of each page. The items table always splits across pages. Everything else (totals, T&C, bank details, signature) stays as one unit on a single page.

UAE Corporate Tax profile
Qarran will not guess these dates. Enter your tax period exactly as it appears on your
FTA Certificate of Registration. Everything below is worked out from it — nothing is estimated,
because a wrong filing date costs money rather than convenience.
Have your accountant confirm the dates before you rely on them.
Entity type
A natural person files on the calendar year; a company files on its own tax period.
Legal entity name
Corporate Tax Registration Number
This is the Corporate Tax TRN — not the VAT TRN on the Company tab.
Date of incorporation
First tax period — start
First tax period — end
Both dates come straight off the FTA certificate.
Trade licence issue dates (earliest is the one the FTA uses)
One per licence: number, authority, issue date. The Compliance page tracks licence expiry; the FTA cares about issue.
Deletion requests 0
An AI agent can ask for something to be removed; it can never remove it. You decide here, and this is the only place in Qarran where a record is deleted. Anything that was sent, was paid, or that other records depend on is cancelled and kept — never destroyed.
Data Management
Your data is stored securely in the cloud for your company. Export regularly for your own backups.
API Keys (for AI agents)
Give an AI agent its own key so it can work in Qarran for you. Everything it does is recorded under the key's name, so you can always see what the agent did and what your staff did. Keys are admin-only. Revoking one stops it immediately; the entry disappears from this list a week later, and anything it created keeps its name.
Read only means the agent can look at your books but can never change them — the safest thing to give a new agent, or one you don't fully trust yet.
Name this key
Access
Can't be changed later — to switch, revoke and make a new key.
Expires
A key that expires by itself is safer than one you have to remember to revoke.
Check my books
The same health checks an AI agent runs — over-billing, implausible amounts, clients owed money back, broken references, invoices marked paid without the money — run directly on your books, explained in plain words. Read-only: checking changes nothing.
What’s using space
Every time you save anything, Qarran sends your whole company — every client, project and document — back to the cloud. So the size below is the cost of every single save, not just of storing it. This works it out on your own device; nothing is sent anywhere.
Photos and files move themselves to cloud storage in the background — full quality, checked byte-for-byte, with a safety backup taken first. There is nothing to press.
Backups & Restore
Qarran saves a dated snapshot of your whole company once a day and keeps the last 14. If anything ever goes wrong — a bad import, something deleted by mistake — you can roll back to any of them. Restoring takes a backup of the current data first, so it can be undone too.
Delete my account & company data
Permanently erases this company's business data and your access. This cannot be undone. Export a backup first. (Right to erasure — UAE PDPL.)
